Awards Assistant

The purpose of this post is to support the Award Management team in the planning, securing and managing of both development and humanitarian awards. The position involves supporting award information management and compliance with systems and processes.
Under the direction of Senior Awards Manager, the Awards Assistant will be responsible for supporting the team to adhere to all award management obligations internally within Save the Children. The primary role of this position will be data upkeep as well as partnership agreement management. In the event of a major humanitarian emergency, the role holder will be expected to work outside the normal role profile and be able to vary working hours accordingly.
Key Responsibilities:
Awards Management
- Work with other team members to support team activities.
- Coordinate with two field office, Nepal Country office as well as Bhutan Country Office program and finance team for regular partnership agreement and amendment process.
- Coordinate with program and finance team (both Nepal and Bhutan) for partnership closeout and main award closeout related task.
- Work closely with Senior Awards Coordinator for preparation of training materials for awards related training (like report writing training, closeout refresher training, vetting refresher training) and support during trainings.
- Support report review as designated by the Awards Manager/Senior Awards Coordinator.
- Prepare and share monthly closeout tracker, award reporting tracker and partnership closeout tracker.
Compliance (systems, processes, donor)
- Ensure SCI processes and relevant donor requirements are followed during partnership process as well as closeout.
- Ensure Award Management System (AMS) system is up to date, maintaining and driving data quality, data upkeep.
- Use AMS reporting to monitor awards and plan for key processes i.e. donor reporting schedule, close out tracker, monthly team workplan, daily AMS approvals.
- Support review of partnership agreement and assist in AMS approvals.
Portfolio management and strategy
- Run reports from AMS to support the Senior Awards Manager and Awards team with monitoring of the Award Portfolio.
- Perform monitoring and analysis activities when required and work with Senior Awards Coordinator and Awards Manager to resolve any issues identified.
Problem solving skills to address and work through issues when they arise.
Qualifications and experience :
- Professional qualification: Bachelor’s degree or similar with 2-year work experience (1 year for GSI group)
- Ability to work well with a team and establish relationships with other teams/offices.
- Cultural awareness and ability to work well in an international environment with people from diverse backgrounds and cultures.
- Computer literacy and excellent documentation skills are a must.
- Developed interpersonal and English communication skills
- Excellent time management and planning capacity
Desirable
- Experience in using MS PowerPoint presentations, copyediting
