Job Description

Job purpose:

The overall responsibility of the position holder is to establish the project’s knowledge management and monitoring system. The position will lead in capturing, organizing and disseminating project insights and learnings including best practices, lesson learned, blog, articles and other knowledge products. The position is also responsible for preparing quality periodic reports meeting the requirements of the organization and donor.

Major Duties and Responsibilities

1. Compliance of Policies, Guidelines and Manuals

  • Adhere to relevant policies, procedures, regulations and guidelines of HELVETAS Swiss Intercooperation Nepal (Personnel, Financial, Administrative policy manual; Security Response Guide; Gender
  • Equality and Social Inclusion Guide; Sexual Harassment and Mobbing Policy; Code of Conduct Against Corruption, etc.) and other specific policies applicable to the Green Elam Project;
  • Contribute to Conflict Sensitive Program Management at all levels;
  • Compliance with policies and approaches of the Government of Nepal (GoN), Donors as relevant that are required for project implementation process.

2. Knowledge Management and Monitoring

  • Establish the project’s knowledge management and monitoring system in close coordination with the project team.
  • Take the lead in capturing, organizing and disseminating project insights and learnings including best practices, lesson learned, blog, articles and other knowledge products;
  • Facilitate knowledge sharing and learning across project stakeholders through webinars, online workshops, digital platforms, newsletters and stay connected with upgrade technological trends and tools relevant to green economy sector;
  • Support for proper functioning of monitoring and information system;
  • Assist staff members to develop monitoring system at partners’ level for effective planning, monitoring and self-evaluation of the project activities;
  • Update and manage the project online database monitoring and information system.

3. Planning and Reporting

  • Contribute to the preparation of the Yearly Plan of Operation (YPO), activity plan, outcome monitoring plan as per the standards and requirements of InELAM Project;
  • Coordinate with the project staff, partners, stakeholders and country office to ensure timely retrieval of project information necessary for the Yearly Plan of Operation (YPO), progress reports and other related reports as necessary;
  • Support in organizing and documenting review meetings; contribute in project assessment/research as required and document learnings and challenges of the project.
  • Prepare quality periodic reports (quarterly, semi-annual and annual progress reports, including outcome monitoring reports) as per the requirement of the organization and donors; Donors and Helvetas;
  • Ensure preparation of federal, province/local government wise fact sheets of the project as and when necessary;
  • Contribute to conducting internal project assessment/review/research as per the requirement of the project;
  • Ensure data security, privacy, and ethical management of information resources.

4. Communication, coordination, representation and networking

  • Work in close coordination with project team members, knowledge management and information technology unit, country office and other related stakeholders at different levels;
  • Ensure that the purpose, scope, management, and learnings of InELAM are adequately documented and shared with concerned stakeholders including local governments;
  • Coordinate and work closely with province enterprise coordinators, and relevant social networks.

5. Other Responsibilities

  • Professionally discharge other mutually agreed tasks assigned by the Team Leader;
  • Be proactive in bringing innovations and taking new initiatives into the project and the organization.

Job requirements:

A. Minimum education attainment: Minimum bachelor’s degree, preferably master’s degree in English literature, communication, social science, or any other relevant field.

B. Minimum professional experience: Minimum 3 years of professional experience in the development sector with focus in the knowledge management and monitoring roles, or similar roles. Experience in using digital platforms for data collection, analysis and visualization is an added value.

C. Required competencies:

  • Excellent documentation, knowledge management, and report-writing skills in English and Nepali
  • Experience in developing progress reports, or research reports
  • Experience in quantitative and qualitative data analysis and reporting techniques
  • Analytical and writing skills in English, Nepali UNICODE is must.
  • Commitment towards gender equality, social inclusion, and poverty reduction and sensitivity towards labour migrants.
  • Sound knowledge of program monitoring and evaluation
  • Excellent interpersonal and inter-cultural competencies, and effective communicator
  • Proficiency in using MS Office applications and database software
  • A good team player, flexible and result-oriented.
