Senior Program Support Coordinator – USAID Integrated Nutrition

Location: Kathmandu

Background:

USAID Integrated Nutrition’s primary goal is to improve the nutrition status of women, adolescents, and children in Nepal’s underserved and marginalized communities. The activity will tackle direct and underlying determinants of malnutrition in Nepal while strengthening the national and local enabling environment to implement multisectoral nutrition programs through four synergistic intermediate results. Achievement of the purpose will be measured by improvements in indicators of nutrition status among women of reproductive age, adolescents, and children.

​Job Purpose:

The Senior Program Support Coordinator is responsible for assisting with all aspects of the Program and Operations team in Kathmandu. This includes, but is not limited to, report writing and consolidation, events management, and coordination with internal and external stakeholders. The position plays the central focal person for Integrated Nutrition Information. The position communicates, and coordinates with the donor (USAID), implementing partners, and the GON stakeholders.

The Senior Program Support Coordinator position will work with the head of consortium partners on disseminating information and circulation of the prime message.

The Senior program support coordinator is primarily responsible for assisting the CoP and DCoP(s) in their management and coordination tasks, as well as providing sector-wide support when required, including assistance in operations and program activities. This role entails significant contact and coordination with external parties, including donors, implementing partners, government offices, and other relevant stakeholders to maintain close working ties. The position frequently communicates with USAID on Integrated Nutrition project’s major correspondences and report dissemination.

Major Duties and Responsibilities:

  • Maintain various USAID Integrated Nutrition project’s reports (annual, semi-annual, and program reports) and communicates with USAID.
  • Coordinate USAID Integrated Nutrition monthly meeting takes meeting minutes, approval, and dissemination to USAID, Kathmandu team members, and Province Coordinators with close coordination with CoP and DCoPs.
  • Arrange USAID Integrated Nutrition project’s Partners meeting, SMT, Program managers meeting, and information circulation.
  • Assist in organizing USAID Integrated Nutrition project’s steering committee meetings, various internal and external coordination meetings.
  • Compile Program Calendar on regular basis and disseminate it to all prime USAID Integrated Nutrition project’s staff members.
  • Assist in obtaining international travel concurrence from USAID as and when required. Reporting approved international travel, including HKI and implementing partner organizations, to USAID every quarter
  • Perform logistical support and visitors’ management, including obtaining visas and coordinating the short-term stay, hotel bookings, meeting itineraries, vehicle arrangements, booking air tickets, permits, and security briefings.
  • Provide/ ensure lead logistic support to international USAID Integrated Nutrition project’s staff members and consultants.
  • Ensure logistic arrangements for the visitors of USAID Integrated Nutrition project’s major government stakeholders
  • Provide assistance and support to the program team in the development of IEC materials, which may also include translation duties as required.
  • Produce correspondence and documents, including official communique to implementing partners and government offices in Nepali. Keep track of USAID Integrated Nutrition project’s official correspondence.
  • Coordinate international travel insurance for HKI staff members for their official trip
  • Assist the line manager in maintaining updated handbooks, minutes, and documents as part of the internal office network Assist CoP and DCoP(s) in official communication tasks and cross-check any documents to be internally and externally released
  • Arrange and support in workshop/meeting materials (venue, stationery, handouts, photocopies, folder, name tags, equipment, attendance sheet, certificate refreshment)
  • Safety and Security focal point for USAID Integrated Nutrition project
  • Lead the fleet management for the USAID Integrated Nutrition project’s
  • Supervise the receptionist and support staff and drivers.
  • Support in other administrative tasks, maintenance, office setup

Qualifications and Competencies:

Educational Degree:

  • Bachelor’s Degree in Management/Finance/Social Science
  • Work experience and skills
  • Minimum 5 years of relevant experience
  • Good understanding of support service, Knowledge of secretarial service
  • Sound knowledge of event management, workshop, and meeting arrangement
  • Experience in the logistic arrangement
  • Support to visitors
  • Familiar with office procedures
  • Sound experience in official correspondence including preparing meeting minutes
  • Sound experiences in managing documentation.
